Rahmenix Consulting LLC led a multi-phase property-operations transformation for Addison Angel House LLC, a small residential portfolio with six houses and a mix of room-by-room and full-house leases. The engagement focused on replacing a single-operator, founder-dependent workflow with a governed "Unified Command Center" that centralizes operations, documentation, and automation. Primary users are small-portfolio landlords and property operators who need more structure, visibility, and scalability without building a full in-house property management department.

Problem

Day-to-day operations relied on scattered tools and ad hoc processes: text messages, spreadsheets, paper records, and unstructured communication across listings, tenants, maintenance, and finances. The founder had to personally manage inquiries, applications, screening, maintenance coordination, rent collection, and cash-flow planning, creating a bottleneck and limiting portfolio growth. Solution

Designed and implemented a unified, low-touch property management operating system that functions as a "Unified Command Center" for all portfolio activity across six houses and mixed lease types. Consolidated listings, tenant records, leases, payments, maintenance tickets, communications, and financial ledgers into a single governed environment, eliminating fragmented point solutions. Modeled operations into four clearly defined roles—Scout, Sentry, Builder, and Steward—and created SOP-backed workflows for acquisition, screening, maintenance, communication, and cash-flow management. Automated listing intake and screening flows from Zillow, Roomies, and Facebook, including application handling, background checks, and income verification triggers. Implemented a structured maintenance pipeline with tenant portal requests, standardized contractor bids, and automated preventive-maintenance calendars. Deployed automated rent reminders, utility tracking, centralized communication, and a recurring 10% maintenance-reserve sweep to stabilize cash planning and reduce emergency risk. Added an agency-outreach engine that pushes current vacancies to local agencies and partners on a recurring schedule to support occupancy and revenue predictability.
